1. Who we are

Svara Voice AI Pvt. Ltd. (“Svara”, “we”, “us”) provides an AI voice receptionist service for clinics in India. Our registered office is in Bengaluru, Karnataka, India. For anything in this policy, write to hello@svaravoiceai.com.

This policy covers two groups of people: clinic staff who sign up for Svara, and patients who call a clinic that uses Svara.

2. What we collect

From clinics: clinic name, contact person, phone number, email, city, specialty, doctor schedules, OPD timings, and slot rules you configure with us.

From callers: the phone number they call from, the audio of the call, a text transcript, and the booking details they give us (name, preferred time, reason for visit if volunteered). Consent is captured at the start of every call: callers are told they are speaking with an AI assistant and that the call is recorded.

From this website: demo request form details (clinic name, your name, phone, city, specialty) and basic analytics.

3. How we use it

To answer calls, book and confirm appointments, send WhatsApp confirmations and reminders, show the clinic its dashboard, improve speech recognition quality, and contact you about the service. We do not sell or share personal data with advertisers. We never use patient call data to market to patients.

4. Where data lives

Call audio, transcripts, and booking data are processed and stored on servers located in India. We follow the Digital Personal Data Protection Act, 2023 (DPDP Act): purpose limitation, consent, data minimisation, and the right to erasure.

5. Sharing

We share data only with: the clinic the patient called (their own bookings and recordings), our infrastructure providers (cloud hosting, telephony, WhatsApp Business API, and speech services, each bound by data processing agreements), and authorities when the law requires it.

6. Retention and deletion

Call recordings are kept for 90 days by default, transcripts and booking records for as long as the clinic remains a customer. Clinics can delete any recording from their dashboard at any time. Patients can ask the clinic or write to us directly to have their recordings and personal data erased; we act within 30 days.

7. Security

Data is encrypted in transit and at rest. Access inside Svara is role-based and logged. We review access quarterly and patch promptly.

8. Your rights

Under the DPDP Act you can request access to, correction of, or erasure of your personal data, withdraw consent, and complain to the Data Protection Board of India. Start with hello@svaravoiceai.com and we will respond within 30 days.

9. Changes

If we change this policy we will update the date at the top and, for material changes, notify clinics by email at least 15 days before the change takes effect.
